On-site visits

Schedule technician visits to homes and businesses, log arrival, departure, work and materials, and close with a work report signed by technician and customer.

The Visits module is for work done outside the shop: installations, maintenance, inspections or repairs at the customer's home or business. Each visit has its own number (V-2026-000001), an assigned technician, an address and a time. The technician follows it from the phone, records what was done and what was used, and at the end technician and customer sign the work report. The work report is not an invoice: it is the record of the job. You invoice afterwards in Sattotal or in your own accounting software (ERP).

Available on every plan

On the Free plan, visits count toward the monthly limit of 30 together with repairs: they are counted when created (canceled ones don't count) and closing a visit in front of the customer is never blocked. Invoicing from the app still requires a paid plan.

Scheduling a visit

From Visits › New visit, or from the Visits tab of a customer record (the customer comes pre-selected).

1

Customer and location

Pick the customer. By default the visit is "At the customer's address", taken from their record; you can also enter a different address (businesses often have several sites).

2

Contact and reference

On-site contact name and phone, and the customer's reference (purchase order or service request number), which businesses often require on the invoice.

3

Technician, date and duration

Assign the technician and the date and time. The estimated duration comes from the settings (60 minutes by default). If the technician already has an overlapping visit, you get a warning, but it is not blocked.

4

What the customer needs

Visit type (repair, installation, maintenance, inspection or other), the device if there is one, a description of the request and whether a trip charge applies. When saved, the visit is Scheduled with its number.

List, schedule and per-technician summary

Filtered list

Filter by technician, status, period (today, tomorrow, week, month or all) and search by number, customer or reference. "Pending invoicing" shows only completed visits not yet invoiced.

"My visits" and "Today" for technicians

The whole team sees every visit, but a technician lands straight on today's visits, sorted by time, with buttons to call the contact and open directions on the map.

Month, week or day schedule

The schedule is the default view. In month view you see a dot per visit under each day (in its status color) and, when you tap a day, its visits below; week view shows all seven days and day view lists the visits by time. Everything uses your country's local time.

Per-technician summary

For each technician: number of visits, hours on site and amount pending invoicing for the filtered period.

On the day: work mode

On a phone, the visit page shows a bar fixed at the bottom with the action that comes next. Times are set by the server, not by the phone. Next to “Call” and “Directions”, WhatsApp shows up when it is connected: it opens a message to the customer with their phone number already filled in, and the message is logged in History.

On my way

Optional. Marks that the technician is heading to the customer.

I've arrived

Records the arrival time and sets the visit In progress. From then on, the on-site timer runs.

I've finished

Records the departure time and suggests a labor line with the time on site, rounded according to your settings.

Correcting times

If someone forgot to tap in time, times can be corrected from Actions as long as there are no signatures. The change is logged in the history ("arrival 10:02 → 09:55").

Work and materials

Work performed and notes

Free text that saves as you type and is printed on the work report: what was done, what was checked and what you recommend.

Materials and services

Add parts and services from the catalog (with their price and tax) or free-text lines. Parts come from the visit's warehouse, for example the technician's van, and support serial numbers.

Trip charge

If the visit charges for travel, a line with the trip-charge service from the settings is added automatically: as a flat amount or, when charged per kilometer, with the round-trip km times the price per km. When the visit is created, Google Maps calculates the km and drive time from the shop so you can tell the customer (otherwise they are entered manually), and it can be recalculated in the detail view while there are no signatures. It can be turned on or off from the work tab.

Suggested labor

When you finish, labor is suggested using the configured service: time on site is rounded up to the step (15, 30 or 60 minutes) and the minimum is applied. You can adjust it before signing.

Stock on closing, never blocking

Materials are taken out of stock when the visit is completed. If stock runs short, it may go negative and an incident is logged in the history: closing with the customer present is never blocked.

Before and after photos

In the Photos tab you can take or upload up to 10 photos of the condition on arrival and another 10 of the result. iPhone HEIC photos are converted automatically. If the settings allow it, up to 4 appear on the work report.

Signing the work report

Signatures are collected in the Signatures tab, with the visit in progress and both times recorded.

1

Technician first

The technician signs on screen with a finger.

2

Then the customer

The customer reviews the summary and the terms, and signs with their name, an optional ID and their job title if it is a business.

If the customer can't sign

Tap "The customer can't sign right now", choose "Not present" or "Declines to sign" and give the reason. It is shown on the work report.

What is signed doesn't change

Once there is a signature, times, notes, materials and photos can no longer be edited. To fix something you clear the signatures and sign again, so the work report always matches what was signed.

Work report signatures

Technician's signature

Carlos Ruiz

Customer's signature

Tomás Villar · Store manager

The customer signs to confirm the work performed and the materials used.

Remote signing by link

If you close the visit with the customer absent, Sattotal sends them a link by email (or by WhatsApp if they have no email) to review the work report and sign it on their phone, with no account or password. The link expires after the configured number of days (15 by default) and can be resent or copied from the Signatures tab. When they sign, the work report is regenerated with their signature and the note "Signed remotely", and emailed to them.

Completing and the work report

"Finish visit" requires arrival, departure, the technician's signature and the customer's (or the reason for not signing). On completion, stock is deducted, the PDF work report is generated and, if enabled, emailed to the customer.

What the work report contains

Shop and customer details, location and contact, technician, arrival and departure times with time on site, request, work performed, notes, materials and services (with or without amounts, depending on settings), photos, both signatures and the terms. It is marked "Non-tax document".

View, download and send

In the Work report tab you can view it, download it and send it by email or WhatsApp. Before completion it can be previewed as a draft. The signed PDF is kept in private storage, never behind a public link. WhatsApp shows up when it is connected in Settings › WhatsApp.

Invoiced in Sattotal or in your ERP.

Canceled

The visit never took place. Requires a reason.

Not carried out

The technician went but the job couldn't be done. Requires a reason and isn't invoiced.

Voided

A completed visit that is voided (admins only): stock is returned and the PDF is kept.

Invoicing a visit

Invoice in Sattotal

From Actions › Invoice, an invoice is created with the work report lines, in countries with invoicing enabled and on a paid plan. The visit becomes Invoiced and links to the invoice.

Invoiced in my ERP

If you invoice in another program, mark the visit as invoiced with your invoice reference. An administrator can remove the mark if it was a mistake.

Export for your ERP

The export button in the list downloads a CSV with one row per work report line (with the visit header repeated), for all visits or only those pending invoicing.

Voiding

An administrator can void a completed visit that hasn't been invoiced. Deducted stock is returned and the PDF is kept with the VOID mark.

Taking the device back to the shop

If the job continues in the shop, from Actions › Link repair you can pick one of the customer's repairs or tap "Take to the shop", which opens device intake with the customer pre-selected. The new repair is linked to the visit, and the repair page shows a "Related visits" card.

Reminder the day before

The afternoon before the visit, between 5 and 8 p.m. in your country's time, the customer receives a reminder with the date, time, address and technician, by email, WhatsApp or both depending on your settings. It is sent only once; if you reschedule the visit, it is sent again with the new time.

Module settings

In Settings › Visits (administrators only):

Numbering

Visit series (V by default). It can't match an invoicing series.

Trip charge

Whether travel is charged by default (never, businesses only or always), which catalog service is used and how it is charged: a flat amount or per kilometer (round trip), with a price per km that can be changed on each visit and saved as the new default.

Labor

Labor service (hourly rate), rounding to 15, 30 or 60 minutes and the minimum billable time.

Work report

Show amounts on the work report, include photos, email it to the customer on completion, and your own terms text (otherwise the Documents terms are used).

Reminder and signing link

Reminder channel (none, email, WhatsApp or both) and how many days the remote signing link stays valid.

Materials warehouse

Default warehouse materials are taken from, for example the technician's van.

Traceability

On the customer record

The Visits tab lists their visits with status, technician and amount, and how many are pending invoicing.

Visit history

Every step is logged with date and author: creation, rescheduling, arrival and departure, changes, signatures, messages sent, stock incidents and internal notes. From the History tab you can also write to the customer by email or WhatsApp with “Send message”, and the message is logged.

Module permissions

Visits is a permissions module of its own. Arrival, departure, signatures and completion can only be done by the assigned technician or an administrator.
