On-site visits

Schedule technician visits to homes and businesses, log arrival, departure, work and materials, and close with a work report signed by the technician and the customer.

The Visits module is for work done away from the shop: installations, maintenance, inspections or repairs at the customer's home or business premises. Each visit has its own number (V-2026-000001), an assigned technician, an address and a time. The technician follows it on their phone, records what was done and what was used, and at the end both technician and customer sign the work report. The work report is not an invoice: it is the record of the job. You invoice afterwards in Sattotal or in your own accounting software (ERP).

Available on every plan

On the Free plan, visits count towards the monthly limit of 30 together with repairs: they are counted when created (cancelled ones don't count), and closing a visit in front of the customer is never blocked. Invoicing from the app still requires a paid plan.

Scheduling a visit

From Visits › New visit, or from the Visits tab of a customer record (the customer comes already selected).

1

Customer and location

Choose the customer. The visit address is filled in from their record and you can change it (businesses often have several sites); the "At the customer's address" option brings it back.

2

Contact and reference

On-site contact name and phone number, plus the customer's reference (purchase order or job number), which businesses often ask to see on the invoice.

3

Technician, date and duration

Assign the technician and the date and time. The estimated duration comes from the settings (60 minutes by default). If the technician already has another visit that overlaps, you are warned, but it is not blocked.

4

What the customer needs

Visit type (repair, installation, maintenance, inspection or other), the device if there is one, a description of the request and whether a call-out charge applies. Once saved, the visit is Scheduled and gets its number.

List, schedule and summary by technician

Filtered list

Filter by technician, status and period (today, tomorrow, week, month or all), and search by number, customer or reference. "To be invoiced" shows only completed visits that have not been invoiced yet.

"My visits" and "Today" for technicians

The whole team can see every visit, but a technician lands straight on their visits for today, in time order, with buttons to call the contact and open directions on the map.

Month, week or day schedule

The schedule is the default view. In month view you see a dot per visit under each day (in its status colour) and, when you tap a day, its visits below; week view shows all seven days and day view lists the visits by time. Everything uses your country's local time.

Summary by technician

For each technician: number of visits, hours on site and the amount still to be invoiced for the filtered period.

On the day: work mode

On a phone, the visit page shows a bar fixed at the bottom with the next action to take. Times are set by the server, not by the phone. Next to “Call” and “Directions”, WhatsApp shows up when it is connected: it opens a message to the customer with their phone number already filled in, and the message is logged in History.

On my way

Optional. Marks that the technician is setting off to the customer.

I've arrived

Records the arrival time and sets the visit to In progress. From then on, the time-on-site timer is running.

I've finished

Records the departure time and suggests a labour line with the time spent on site, rounded according to your settings.

Correcting times

If someone forgot to tap at the right moment, times can be corrected from Actions as long as nothing has been signed. The change is recorded in the history ("arrival 10:02 → 09:55").

Work and materials

Work carried out and notes

Free text that saves as you type and appears on the work report: what was done, what was checked and what you recommend.

Materials and services

Add parts and services from the catalogue (with their price and tax) or free-text lines. Parts are taken from the visit's warehouse, for example the technician's van, and can carry a serial number.

Call-out charge

If the visit charges for travel, a line with the travel service from the settings is added automatically: as a fixed amount or, when charged per kilometre, with the return-trip km times the price per km. When the visit is created, Google Maps works out the km and time from the workshop so you can tell the customer (otherwise they are typed by hand), and it can be recalculated in the detail view while there are no signatures. It can be switched on or removed from the work tab.

Suggested labour

When you finish, labour is suggested using the configured service: the time on site is rounded up to the chosen step (15, 30 or 60 minutes) and the minimum is applied. You can adjust it before signing.

Stock on closing, never blocking

Materials are deducted from stock when the visit is completed. If there is not enough stock, it is allowed to go negative and an incident is logged in the history: closing with the customer present is never blocked.

Before and after photos

In the Photos tab you can take or upload up to 10 photos of the condition on arrival and another 10 of the result. iPhone HEIC photos are converted automatically. If the settings allow it, up to 4 appear on the work report.

Signing the work report

Signatures are collected in the Signatures tab, once the visit is in progress and both times have been recorded.

1

Technician first

The technician signs on screen with a finger.

2

Then the customer

The customer reviews the summary and the terms, and signs with their name, an optional ID document and their job title if they are signing for a business.

If the customer can't sign

Choose "Not present" or "Declines to sign" and give the reason. This is shown on the work report.

What is signed stays as signed

Once a signature is in place, times, notes, materials and photos can no longer be edited. To correct something you have to clear the signatures and sign again, so the work report always matches what was signed.

Work report signatures

Technician signature

Carlos Ruiz

Customer signature

Tomás Villar · Manager

The customer signs to confirm the work carried out and the materials used.

Remote signing by link

If you close the visit with the customer absent, Sattotal sends them a link by email (or by WhatsApp if they have no email address) so they can review the work report and sign it on their phone, with no account or password. The link expires after the configured number of days (15 by default) and can be resent or copied from the Signatures tab. When they sign, the work report is regenerated with their signature and the note "Signed remotely via the link", and emailed to them.

Completing the visit and the work report

"Finish visit" requires the arrival and departure times, the technician's signature and the customer's (or the reason for not signing). On completion, stock is deducted, the PDF work report is generated and, if enabled, emailed to the customer.

What the work report includes

Shop and customer details, location and contact, technician, arrival and departure times with the time on site, request, work carried out, notes, materials and services (with or without amounts, depending on the settings), photos, both signatures and the terms. It is marked "Not a tax document".

View, download and send

In the Report tab you can view it, download it and send it by email or WhatsApp. Before completion it can be previewed as a draft. The signed PDF is kept in private storage, never behind a public link. WhatsApp shows up when it is connected in Settings › WhatsApp.

Invoicing a visit

Invoice in Sattotal

From Actions › Invoice…, an invoice is created with the lines from the work report, provided invoicing is available in your country and you are on a paid plan. The visit becomes Invoiced and is linked to the invoice.

Invoiced in my ERP

If you invoice in another program, mark the visit as invoiced with your invoice reference. An administrator can remove the mark if it was set by mistake.

Export for your ERP

The export button in the list downloads a CSV file with one row per work report line (with the visit header repeated), for all visits or only those still to be invoiced.

Voiding

An administrator can void a completed visit that hasn't been invoiced. The deducted stock is put back and the PDF is kept, marked VOIDED.

Taking the device back to the shop

If the job has to continue in the shop, from Actions › Link repair… you can choose one of the customer's repairs or tap "Take to the shop", which opens device intake with the customer already selected. The new repair is linked to the visit, and the repair page shows a "Related visits" card.

Reminder the day before

On the afternoon before the visit, between 5 and 8 pm in your country's time, the customer receives a reminder with the date, time, address and technician, by email, WhatsApp or both, depending on your settings. It is sent only once; if you reschedule the visit, it is sent again with the new time.

Traceability

On the customer record

The Visits tab lists the customer's visits with status, technician and amount, and how many are still to be invoiced.

Visit history

Every step is logged with date and author: creation, rescheduling, arrival and departure, changes, signatures, messages sent, stock incidents and internal notes. From the History tab you can also write to the customer by email or WhatsApp with “Send message”, and the message is logged.

Permissions by module

Visits is a permissions module in its own right. Arrival, departure, signatures and completion can only be recorded by the assigned technician or an administrator.
