Garages

Software for garages

Cars, vans, motorbikes, lorries, motorhomes and trailers: the vehicle record read from the V5C, an intake receipt and warranty terms written for vehicles, and every repair tracked in one place.

A garage doesn't take in a device: it takes in a vehicle with a number plate, a VIN, a mileage and a V5C full of codes. And what a garage has to put in writing isn't what a phone repair shop puts in writing: estimates, storage charges, road tests, the parts that were replaced. Sattotal has a dedicated automotive category that you switch on in a moment and that adapts the intake, the documents your customer signs and the catalogue of faults to what really happens in a garage.

Copying the registration number, the 17-character VIN, the engine capacity and the power from the V5C by hand takes minutes and leaves typos that later turn up on the invoice. A generic intake receipt says nothing about road tests or what was left in the boot, and if the customer comes back two months later with the same fault, nobody knows what mileage the car left on or how long the garage's warranty runs.

With Sattotal you take a photo of the V5C —or upload the PDF— and AI fills in the registration number, VIN, make, model, date of first registration, fuel, engine capacity, power and seats; you just check it. The customer signs an intake receipt with the risks of the trade and your terms for vehicles, which are kept separate from the ones for devices, come pre-drafted with UK law —with a separate version for Scotland— or, in Ireland, with Irish law, and are stored exactly as the customer signed them. On collection you record the mileage and it's written on the sign-off sheet alongside the warranty; where the law sets a mileage limit (Spain and the Canadian provinces of Ontario, Québec and Manitoba), the sheet also states the kilometre at which cover ends.

Fill in from the V5C

A photo or PDF of the V5C logbook, the MOT certificate or the vehicle document from any of the 60 countries Sattotal works in. AI only fills in the empty fields and you check them before carrying on.

Complete vehicle record

Number plate, VIN, mileage, fuel and powertrain (hybrids, LPG and CNG included), engine capacity, power, seats, engine number, date of first registration and next MOT.

Intake receipt and legal terms for vehicles

Vehicles sign their own terms, separate from devices —estimates, storage charges, replaced parts— plus the garage's risks: road tests, valuables left in the cabin or high voltage on hybrids. They come pre-drafted with the law of each of the 60 countries, by region where the law is regional, and you can still adapt them.

Warranty with the mileage recorded

On collection you record the mileage and it's written on the signed sign-off sheet alongside the warranty. Where the law sets a mileage limit (Spain, Ontario, Québec, Manitoba), the sheet also states the kilometre at which it ends.

Faults of the trade

37 causes in seven categories —engine, transmission, brakes, suspension and steering, electrics, bodywork and climate control— plus the accessories and intake checks of a garage.

Six vehicle types

Car, van, motorcycle, lorry, motorhome and trailer, each with its own icon on the board, a radio code instead of a password and up to 20 intake photos.

Everything you can do with your garage management software

From the moment the car comes through the door until it leaves with its warranty in writing: the vehicle record, the mileage, the MOT, terms drafted for vehicles and the faults of the trade, all in one system.

The vehicle record, filled in from the V5C

Take a photo of the V5C logbook or upload the PDF and Sattotal fills in the registration number, VIN, make, model, date of first registration, fuel, engine capacity, power and seats. It only fills in what’s empty and saves nothing until you’ve checked it.

The registration is unique in your garage: if someone tries to add a car that’s already on file, the system warns them and opens its record with the full history rather than creating a duplicate.

  • Car, van, motorcycle, lorry, motorhome and trailer
  • Fuel type: combustion, mild hybrid, hybrid, plug-in hybrid, electric or hydrogen
  • Engine number, seats and next MOT on the same record
  • Change of keeper without losing the vehicle’s history
How the automotive category works

The history of every registration: repairs and mileage

Every time the vehicle comes in, its mileage is recorded, and on collection, the mileage it leaves on. Over time the record builds up the whole picture: you know how much that car is driven and when its next service will be due.

The vehicle record shows all its repairs, both open and already collected, even if the car has changed keeper. And the mileage on collection is what counts for the warranty, so when the customer comes back there’s no argument about how far it’s done since the repair.

  • Every repair on the vehicle, on its own record
  • Mileage in and out on every visit
  • The history stays with the car, even after a change of keeper

MOT reminders that bring customers back to your garage

With the next MOT date on the record, Sattotal warns you in Alerts as it gets close. That’s the moment to ring the customer and offer a pre-MOT check before the test.

  • Alert on the Alerts page and in the notification bell
  • MOT date shown on the vehicle record

An intake receipt drafted under UK consumer law

In the UK, Sattotal’s vehicle terms are drafted under the Consumer Rights Act 2015, with one version for England, Wales and Northern Ireland and another for Scotland. They cover estimates, the parts that were replaced and storage charges, and they go on the intake receipt the customer signs.

They also set out the risks of the trade: road tests, valuables left in the cabin or the high voltage in hybrids and EVs. And outside the UK, each country and region comes with the wording of its own law.

  • Legal texts for vehicles in the 60 countries Sattotal works in
  • Regional versions: Scotland, US states, Canadian provinces, Australian states…
  • What was signed is stored exactly as signed, even if you change your terms

Warranty in writing, with the mileage on collection

The sign-off sheet states the warranty you’ve set up for your garage, alongside the mileage the vehicle leaves on. Where the law sets a mileage limit —Spain, and the Canadian provinces of Ontario, Québec and Manitoba— it also states the kilometre at which cover ends. If the car comes back, a green or red light tells you straight away whether the repair is still covered.

How the warranty is worked out on collection

Quotes with parts and labour, approved by phone

The quote lists each part and the labour on separate lines. Pick parts from your catalogue or type them in there and then, and the customer approves or declines from the link you send by email or WhatsApp: the job card changes status on its own.

It’s recorded who approved it and when, so there’s no argument over what was authorised before anyone touched the car. Once it’s approved, the invoice is raised from the job with the same lines, without typing anything again.

Let the customer know when their car is ready

When you mark the job as repaired, Sattotal tells the customer: by email if they have one, and if not, by WhatsApp from your garage’s number. Nobody has to ring round to say the car is ready to collect.

The wording is yours: change it for the whole garage or just for one job, and preview it before it’s sent.

How to connect your garage’s WhatsApp

Several mechanics, each with their own permissions

Add reception, your mechanics and the office. Every job card has its assigned mechanic, so the board shows who’s on each car.

Permissions are set per module: for each person you give full access, read only or no access to repairs, customers, parts stock or quotes. And there’s a record of who changed what.

Team roles and permissions

Garage faults, already catalogued

Thirty-seven fault causes in seven categories designed for the garage: engine, transmission, brakes, suspension and steering, electrics, bodywork and climate control. You pick them when diagnosing, and later they show you what you repair most and how long it takes.

Plus everything any repair business needs

Each category adapts the record, the faults and the paperwork to your trade; the rest of Sattotal is the same for every category.

Quotes your customer approves online

Send the quote by email or WhatsApp and the customer accepts or turns it down from the link. The repair moves on to its next status by itself, with a record of who approved it and when.

Signed booking-in and handover

The customer signs on screen when they drop the item off and when they collect it. The PDF keeps the exact terms they agreed to, with your logo and the legal wording for your country.

Photos on the way in and out

Take photos on your phone when the item comes in and when it goes back, iPhone HEIC included. If a customer says a knock was your doing, you have proof of how it arrived.

WhatsApp and email updates

The customer gets a message when the quote is ready, when the repair is finished and when it’s waiting to be collected, without anyone having to ring them.

Parts, warehouses and suppliers

Stock by warehouse, parts set aside for each repair, returns to suppliers (RMA) and AI that reads your supplier invoices.

POS and invoicing

Take payment for the repair, sell accessories from the POS and issue invoices that meet your country’s rules, in the countries where it’s available.

Warranties under control

Every repair you hand back carries its warranty end date. If the item comes back, a green or red light tells you straight away whether it’s still covered.

Team, roles and permissions

Front counter, technicians and admin, each with their own permissions. You know who changed what, and every technician sees their own work on the board.

AI assistant and daily report

Ask the assistant about your repairs in plain English and get a summary each morning of what came in, what went out and what’s stalled.

Frequently asked questions

What does it read from the V5C?

Registration number, vehicle identification number (VIN), make, model, date of first registration, fuel, engine capacity, power and seats. Where the registration document doesn't carry all the technical data —in Spain, for example— uploading the inspection card as well fills in the rest. It reads a photo or a PDF, even a scanned one, only fills in empty fields, and nothing is saved until you've checked it and carried on.

Does it work for garages in the UK?

Yes. It reads the vehicle document from the 60 countries Sattotal works in —the British V5C, the Irish vehicle registration certificate, the French carte grise, the German Fahrzeugschein, the Mexican tarjeta de circulación…—. The legal texts for vehicles come pre-drafted with the law that governs vehicle repair in each of those 60 countries: the garage law where there is one and, if not, consumer law or the general rules for repair contracts. In the UK they're drafted under the Consumer Rights Act 2015, with one version for England, Wales and Northern Ireland and another for Scotland, and in Ireland under the Consumer Rights Act 2022. Elsewhere, where the law is regional, they also come by region: US states, Canadian provinces, Australian states, Andalusia and Catalonia. You can still adapt them in the Vehicles tab, and each one is stored exactly as the customer signed it. Where the law couldn't be read from its official source, the app alerts you to review the texts.

What warranty appears on the sign-off sheet?

The one you've set up for your garage. On collection you record the mileage the car leaves on, and it's written on the signed sign-off sheet alongside the warranty. Where the law sets a mileage limit —in Spain and in the Canadian provinces of Ontario, Québec and Manitoba— the sheet also states the date and the kilometre at which the warranty ends.

Do I need to change anything if I also repair other things?

No. Automotive is a category you switch on in Settings → Device categories, or when you create your account, and it sits alongside the others: if you also repair e-scooters or machinery, each item keeps its own details and its own terms. If you don't switch it on, nothing changes for you.

What happens if I change my terms later?

What's been signed doesn't change. Each repair keeps the exact wording the customer signed when they left the vehicle with you, so a year from now their intake receipt still prints with what they agreed to that day, even if you've updated your terms since.
